Floramedia Group BV and its affiliated companies, Floramedia Operations BV, Floramedia Nederland BV, and their international partnerships, hereinafter referred to as the Floramedia Group, attach great importance to the protection of your personal data. This Privacy Policy aims to provide clear and transparent information on how we handle personal data.

Processing of customers’ or suppliers’ personal data
Floramedia Group processes customers’ and suppliers’ personal data for the following purpose(s):

- Communication about the order and/or invitations;
- Fulfilling or sending an order (supply chain management).
The lawful basis for processing this personal data is:
- The agreed order or contract.

Floramedia Group will store your personal data for the abovementioned processing purposes for a period:
- Longer than the term of the agreement, i.e., indefinitely, or until permission is withdrawn and subsequently only in the financial administration for a maximum of seven years.
Processing of newsletter subscribers’ personal data
Floramedia Group processes newsletter subscribers’ personal data for the following purpose(s):
- Informing the person concerned by means of newsletters and/or mailouts.
The lawful basis for processing this personal data is:
- The newsletter registration form;
- Newsletter subscribers whose details were collected and saved prior to 25 May 2018 and newsletter subscribers who subscribed after 25 May 2018.
For the above purpose(s), Floramedia Group may request the following personal data from you:
- Title
- First name
- Surname
- E-mail address
- Company name
- Sector/Industry
Floramedia Group will store your personal data for the abovementioned processing purposes for the period:
- That you are subscribed to the newsletter.
Processing of prospects’, stakeholder/lobby contacts’ and/or interested parties’ personal data
Floramedia Group processes the personal data of prospects, stakeholder/lobby contacts and/or interested parties for one or more of the following purposes:
- Providing information through newsletters and/or targeted contact;
- Sending (or approaching with) information about the organisation and/or products/services;
- The digital sending of (and following up on) information about the organisation and/or products/services.
The lawful basis for processing this personal data is:
- Verbal consent, receipt of a business card and/or connecting on LinkedIn;
- Prior digital consent, e.g. when requesting information or subscribing to a newsletter.
For the above purpose(s), Floramedia Group may request the following personal data from you:
- Title
- First name
- Surname
- Address
- Telephone number (business)
- Email address (business)
- Gender
Floramedia Group will store your personal data for the abovementioned processing purposes for the period:
- That you are considered to be a prospect, stakeholder/lobby contact and/or interested party.
Provision to third parties
We may provide the information you give us to third parties if this is necessary in order to fulfil the purposes described above. We make use of third parties for, for example:
- Issuing/sending newsletters and/or invitations.
We never pass on personal data to third parties with whom we have not concluded a processing agreement. Regarding third parties with whom we have processing agreements, we make further agreements in order to guarantee the security of your personal data.
Furthermore, we will not pass the information you provide on to other parties, except where this is legally required and permitted; for example, if the police request information or personal data from us as part of an investigation. In such cases we are required to co-operate and are therefore obliged to hand over this information. We may also share personal data with third parties if you have given us written permission to do so.
Within the EU/EEA
We provide personal data to third parties within the European Economic Area (EEA), or in countries, sector(s) and/or region(s) of countries for which the European Commission has adopted an adequacy decision. The European Commission uses an adequacy decision to determine that the country in question offers an adequate level of data protection.
An adequacy decision has also been made for the United States, but only insofar as the receiving party has committed itself to adhering to the principles as laid down in this decision, also known as the Privacy Shield.

Minors
We only process the personal data of minors (persons under 16 years of age) when written consent has been given by the parent, guardian or legal representative.
Retention period
Floramedia Group does not retain personal data any longer than is necessary for the purpose for which it was provided or that is required by law.
Security
We have taken appropriate technical and organisational measures to protect your personal data from unlawful processing, including the following measures:
- All persons who are able to access your data on behalf of Floramedia are obliged to maintain confidentiality;
- Our systems require a username and have a complex password policy;
- We make backups so that we can restore data in the event of physical or technical incidents;
- We test and evaluate our security measures on a regular basis;
- Our employees are aware of the importance of protecting personal data.
Your rights concerning your data
You have the right to inspect, correct or delete the personal data you have provided to us. You can also object to your personal data (or part thereof) being processed by us or by one of our processors. In addition, you have the right to have the data you have provided to us transferred to you or directly to another party on your behalf. We may require you to provide proof of identity before we are able to comply with such requests.
In the event that we process your personal data on the basis of permission given by you, you retain the right to withdraw this permission at any time.

If you have a complaint about the processing of your personal data, please contact us directly. We will do our utmost to work with you to find a solution and find it regrettable if we are unable to resolve the matter. You retain the right to submit a complaint to the Dutch Data Protection Authority.
